General Accountability
Responsible for managing the administration process of TTC’s declared surplus assets, with the exception of real estate.
Key Job Functions
- Interact with awarded Contractors on revenue generating contracts for surplus material including but not limited to: ensuring valid insurance is on file and Contractors are registered/attend proper training prior to accessing TTC property, scheduling pick up times; collecting funds and Releases of Indemnification, etc. as required
- Administer assets removal contracts by assisting in the preparation of bid documentation including all required commercial requirements, quantity estimates and preparing award letter for authorization to be sent to the successful Bidder
- Coordinate and administer the sale of surplus assets from a variety of scrap metal types across all TTC locations; including but not limited to the removal of material, ensuring proper documentation is in place prior to material removal, proper use of TTC external weigh scales and ensuring users’ credit(s) are applied, where applicable
- Obtain the appropriate approval for Accommodation of Sales and Donation of surplus assets through the Chief Executive’s Office; coordinate the removal of goods with the recipient
- Monitoring and tracking of key performance targets, all inventory surplus pending requests and sale of dollars from all surplus assets activities through the use of IFS (ERP system), excel, BOE reports and Microstrategy dashboards Coordinating and administering auction contracts for removal and sale of non-revenue tools and equipment and inventory by ensuring all items sold are removed in a timely manner; ensuring Auctioneer adheres to TTC reserve bid, if applicableReconcile inventory figures concerning surplus assets and ensuring proper receipt documentation of Sales Receipts with Finance Department
- Liaising with Procurement & Category Management Department, all TTC User groups; Legal Department; Finance Department, Chief Executive’s Office, other transit agencies and charitable organizations, and external suppliers, as required
- Responsible for associated analysis tasks to support the Inventory Management Section, as required

Education and Experience
- Completion of a post-secondary college diploma or university degree in a related discipline or a combination of education, training and experience deemed to be equivalent.
- Sound knowledge of contract administration and materials management concepts and practices
- Intermediate proficiency with computerized applications and systems related to the work (i.e. Outlook, Word, Excel, PowerPoint, IFS, etc.).
- Sound knowledge of the general market place as it relates to surplus assets and the ability to co-ordinate and administer the disposal of a wide variety of surplus assets
- Well versed in the understanding of hazardous material (i.e. WHMIS)
- Sound judgement, well-developed analytical and problem solving skills, effective interpersonal, oral communication and report/presentation writing skills
- Effective organization with the ability to multi-task in a fast paced environment, and must be detail and accuracy oriented
- Valid Ontario class ‘G’ Driver’s licence is required and required to use own personal automobile to travel to various sites in the GTA for sale of surplus assets
- Working knowledge of inventory management and warehousing practices and procedures would be an asset
- Familiarity with IFS is an asset
- Must have or acquire knowledge of the TTC and Department policies and procedures and documentation relating to the TTC’s surplus assets function
- Required to take Subway/SRT Rule Book Training on an annual basis
