A day in the life:
Guide incoming brokers and clients to the appropriate personnel or department.
Handle all incoming calls, ensuring they are transferred or directed to the appropriate personnel or department.
Monitor and respond to faxes, voicemails, and emails in a timely and appropriate manner.
Receive and distribute all incoming mail for the Ontario Region to Account Managers and the Investment Team.
Place orders for necessary office supplies as required.
Scan incoming mails, policy documents, and cheques, then email them to the corresponding department or upload them into the system.
Prepare and arrange couriers for policy applications, contracts, or other correspondence as needed.
Manage the preparation and ordering of business cards, access cards, and keys for all HUB employees across Canada.
Prepare and send referral certificates to brokers located throughout Canada.
Organize and maintain the filing system for broker-related mail and pickups.
Assist in scheduling and managing boardroom bookings for staff.
Coordinate the booking of broker rooms for all brokers.
Ensure the overall tidiness and cleanliness of the entire office.
Collaborate with the Property Management Office to address any office maintenance requests promptly.
Perform administrative tasks such as managing changes of address and premium payments.
Who you are:
High School Diploma.
Up to one year of related experience.
Proficiency in typing and working with computer applications, including the Microsoft Office suite.
Demonstrated ability to communicate effectively, both in written and verbal forms.
Strong attention to detail and effective problem-solving skills.
Positive attitude with a strong focus on customer service.
Efficient and effective work habits, utilizing excellent time management skills.
Knowledge of HUB International’s procedures and current industry trends would be an asset.

Compensation:
The expected salary range for this position is $40,000 to $43,000 and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level. HUB International is proud to offer comprehensive benefit and total compensation packages which could include extended health benefits, disability insurance, RRSP matching, paid-time-off benefits, and eligible bonuses, and commissions for some positions.
